An email signature is an assemblage of text or graphics that is attached to the end of your outgoing messages. Adding a well-crafted signature in Gmail is an effective way of concisely providing your contact information or promoting your brand.
A signature is especially useful if you are in the habit of sending quick emails on your mobile devices. It’s easy to forget to properly close and sign your messages when you’re in a hurry, but a signature will alleviate this oversight.
Your signature should include your full name, job title, relevant degrees, your company, and a way for the email recipient to reach out to you. You may also want to include a photo, a logo, favorite song lyrics, or an inspirational quote.

Step 1: Open Gmail in Your Browser

First, open Gmail in your web browser. Type “mail.google.com” in the address bar at the top of the page. This example uses Google Chrome, but you can use any browser.

Next, navigate to the top right-hand corner of the page. Click on the gear icon to open up your Gmail Settings.

Third, select “See all settings” at the top of the quick settings menu.

The Settings screen will open on the General tab. Scroll down until you locate Signature in the menu on the left-hand side.

Click on + Create new in the blue text under the My signature box.

Now, name your new signature. This is for your use only, so no one else will see this information. Then, click Create.

The next step is to type your new signature into the text box. You can also paste your signature from an online email signature generator. You can use basic formatting to change the style and color of your text or to add an image or logo.

Now that you have created your signature, you need to set when to use it. Go to Signature defaults. Next, click on the pull-down menu under “FOR NEW EMAILS USE” to choose between your new signature or no signature.
Then, make your selection under “ON REPLY/FORWARD USE.” If you choose to use your signature in replies, you can also tick the box to ensure your signature is inserted ahead of the quoted text. Ticking the box will also remove the dotted line that comes before it.
Note that if you create multiple signatures, you can use one signature for messages you compose and another for those to which you reply. You can also select a different signature for each email you send.

Finally, scroll down to the bottom of the page and click on Save Changes. That’s it! Now, the signature you’ve created will appear at the end of any Gmail messages you send.
Making Changes to Your Gmail Signature
If you need to make changes to your Gmail signature, begin by following Steps 1-4. Then, select the name of the signature you wish to edit from the list. Make the necessary changes in the text box. When you are finished, scroll to the bottom of the page and click Save Changes.

You can also change your signature as you compose an email. Click the pen icon at the bottom of the message window. Then, insert a signature from the list or click Manage Signatures to go to your signature settings.
Add A Signature in the Gmail App
You can also easily add a signature in the Gmail app on your iPhone or Android phone. Note that mobile signatures are text only. Additionally, the Gmail signatures on your desktop and mobile devices are not synced.
Any changes you make to signatures on one device will not affect the other. Open your Gmail app and let’s begin!

Android users will skip this step. However, if you are using iOS, you must toggle the switch to turn on Mobile Signature.

Finally, type in your signature. On iOS, just tap Done at the top right-hand side of the screen to save your changes. Tap OK on Android devices to save your information. Now, you will see your signature on any email messages you send from the Gmail app!
